How it works, what the customer sees, what it costs to run, and the three mistakes that make it feel like spam instead of service.

Missed-call text-back is the first system we install for almost every business, and it's the one owners understand instantly once they've seen it fire. Here's the plain-English version.

What actually happens

A call comes in to your business number. Nobody answers — you're on a job, it's after hours, or the line is busy. Within a few seconds, the caller gets a text from that same number. Something like: "Hey, it's Mick with MK Tree — on a job right now. What can I help with?"

The caller replies by text. That reply lands in an inbox you can check from your phone, alongside every other text, email, and form fill. You answer when you're free. If you've got booking set up, the system can offer estimate times right in the thread.

What it costs to run

The messages themselves cost cents. The real cost is setup: connecting your number, writing the message in your voice, and wiring the inbox so replies don't get lost. That's a one-time job we do with you in about a week, then it runs.

The three mistakes

We've seen text-back done badly. It fails for predictable reasons:

  • Corporate wording. 'Thank you for contacting us. A representative will be in touch.' Nobody texts like that. Write it the way you'd text a friend who called.
  • No follow-through. The text goes out, the reply comes in, and nobody reads the inbox. The system creates a promise; you have to keep it — even if 'keeping it' is a two-word reply at lunch.
  • Firing on answered calls. If the office picks up and the customer still gets a text, it feels broken. The trigger has to be 'rang out or busy,' nothing else.
